Frequently Asked Questions

Since 2008, VES has been assisting the VA in conducting medical disability exams. Below are the questions we are most asked. If you are not able to find the information you are looking for or would like additional details, the VA has created a series of videos about the exam process as helpful resources. Our team is also always ready to help.

VES’ Role

VES is working directly with the Veterans Benefits Administration (VBA) to expedite your compensation and pension (C&P) exam. Your exam will be conducted by a professional trained to provide VBA the information they require to properly adjudicate your C&P claim.

Your exam will be the same that exam providers perform at a VA facility. The purpose of having VES conduct your C&P exam is to make it more convenient and closer to you. VES clinicians are trained and certified under strict VA guidelines. Exams are offered at a private facility as close to the Veteran as possible.

The exam evaluates your medical condition for your compensation and pension claim with Veterans Affairs. Our providers will not be providing treatment. If you have a medical emergency or need immediate assistance for a medical issue, please contact a VA hospital or private medical provider immediately.

VES does not have any POA authority or documents.  POA is given to a person (or entity) you’ve designated and is not transferrable. The VA does not transfer any POA authority or documents to VES. If your POA is conducting business and communication on your behalf, the official POA document must be provided to VES. This allows us to communicate with your POA and help you in the best way possible

No. VES will contact the provider on your behalf. This allows us to keep detailed accounts of communication related to your appointment(s) and ensure your case is accurate and always updated.

No. All providers and diagnostic facilities work directly with VES. You should never pay for any part of your VES examination or diagnostic testing. You also do not have to provide your private insurance information to an examiner or diagnostic facility when you are scheduled through VES.

The VA provides us with all pertinent records that are part of your claim file. If you have any records that you have never submitted to the VA, please make sure you send them to the VA as soon as possible so they can be included with your claim file.

Scheduling Your Appointment

The VA may request new exams for service-connected conditions for many different reasons, including periodic re-evaluations and requested benefit increases. The VA can assist you if you need further clarification. Please call them at 1-800-827-1000.

We ask your date of birth to verify your identify for security purposes. Since we will be discussing sensitive medical information during the call, we always want to ensure your privacy first.

Please note that while we do our very best to accommodate your schedule, VES cannot guarantee the availability of your preferred timeframes. In order to meet VA requirements, VES may have to assign an alternative examination time. If you need to reschedule, please reach out to us as soon as possible.

If you are unable to reschedule your appointment within 5 calendar days of the original appointment date, the examination request will be returned to VBA for further review.

No. A member of our scheduling team will reach out to you directly if a priority exam option opens in your area within 72 hours. For all other exam options, our team will rely on the details provided to our VES Contact Center and the Veteran portal to schedule your exam.

We always try to schedule you on the soonest day available with the provider at a location that is closest to you. If you were not scheduled for all appointments on the same day, this means the providers and facilities closest to you were not available on the same day.

Out of consideration for other Veterans, service members and our providers, please notify the VES Contact Center, as soon as possible, if you are unable to attend your scheduled evaluation.

Our priority is to find appointment locations closest to you. Our providers are trained and certified by the VA to perform claim exams. Sometimes providers are not located in your immediate area, and we must find the best option for you that may require a further distance to travel

No. VES will contact the provider on your behalf. This allows us to keep detailed accounts of communication related to your appointment(s) and ensure your case is accurate and always updated.

The Provider selected for your evaluation is trained, certified and medically qualified to complete compensation and pension disability evaluations for Veterans and active-duty service members. Examinations are meant to evaluate your condition and are not for treatment purposes.

Preparing for Your Exam

For all exams, please bring the following:

  • A Photo ID
  • A list of any current medications that you’re taking
  • A copy of your VES exam letter

We also recommend wearing comfortable clothing so you can move freely during your exam.

Additional Appointment Requirements:

Audiological (hearing) examinations:

  • Please make sure that your ears are clean and free of any debris that might prevent hearing test completion.

Ophthalmology (eye) exams:

  • Please bring all currently prescribed eyeglasses.
  • Pupil dilation may be required for your exam. Please bring someone with you to assist with driving or plan to allow some time for the eye drops to wear off before driving yourself home. Please bring a pair of sunglasses with you and limit your exposure to the sun as much as possible.

No. You do not need to bring a hard copy of your medical records with you to your scheduled exam.

Veterans Affairs provides us with all relevant records that are part of your claim file. If you have records that have not yet been submitted to the VA, please send them as soon as possible so that they can be included with your claim file.

Yes. You may take your regularly prescribed medication(s). Please do not avoid taking any critical prescriptions for any reason. You may drink water and sips of black coffee before your fasting diagnostic appointment.

An Echocardiogram is a sonogram of the heart and is not invasive. Echocardiograms do not require an injection.

No. The audiology exams evaluate the severity of your hearing loss. VES does not provide treatment or prescriptions during or after audiology exams.

Family members, significant others, and/or caregivers are permitted to accompany you to your exam.

Keep in mind that some of our facilities have limited space in waiting rooms and exams take anywhere from 20 minutes to several hours, depending on the number of conditions to be evaluated.

If you have any questions about who can accompany you or how many can accompany you for the provider facility site you’ll be visiting, please call the VES Contact Center at 1-877-637-8387. A VES contact center agent will forward your question to the appropriate facility. Once we receive direction from that facility, we will call you to follow up.

Yes. Veterans and service members with certified service animals are welcome to bring them to examinations; however, some of our providers and clinic staff may have allergies. If you plan on bringing a service animal, please let us know ahead of time so we can confirm with the provider and facility. We will ensure you are scheduled with a provider that is comfortable with service animals accompanying you for exams.

You should never pay for any part of your VES examination or diagnostic testing. In addition, you do not have to provide your private insurance information to an examiner or diagnostic facility when you are scheduled through us.

Getting to Your Exam

Yes. VA reimburses Veterans and service members residing in the U.S. $0.415 per mile for travel to and from all scheduled appointments. You should receive your mileage check within 7-14 days after your appointment.

Veterans residing overseas are not eligible for travel reimbursement.

No. A travel voucher submission is not required for mileage reimbursement.

With advanced approval from the VA, generally 5-7 days before your schedule exam, VES arranges for Special Modes of Transportation (NEMT) to and from compensation exams for Veterans residing in the US. Special mode of transportation is defined as an ambulance, ambulette, air ambulance, wheelchair van, or other mode of transportation specially designed to transport disabled persons (this does not include a mode of transportation not specifically designed to transport disabled persons, such as a bus, subway, taxi, train, or airplane). A modified privately-owned vehicle, with special adaptive equipment and/or capable of transporting disabled persons is not a special mode of transportation. If you are wheelchair or powered scooter bound, please contact VES with your request.

Some transportation requests can also be approved if you do not fit the criteria above. Please send an email to our VES Transportation Team at VESTransportationrequests@vesservices.com with a detailed description of your transportation need and we will send a request on your behalf to the VA. A member of our VES Logistics team will contact you in 1-3 business days to inform you of the VA’s response.

After Your Exam

Once your examination is complete, our provider submits your examination report to VES. We review the report to ensure everything is complete. There may be situations in which additional appointments may be required by the VA.

If no additional information or exams are needed, VES sends the provider’s report to the VA for use in determining your rating. Our goal is to expedite the compensation and pension process as much as possible to ensure your claim is resolved promptly.

Veterans Affairs can provide copies of your examination report and/or diagnostic results.
You can obtain these copies in one of several ways:

• Contact your local VA regional office
• Call the VA at 800-827-1000 and request an appointment to view your file
• Have your service representative request a copy for you from the VA.
• Request a copy of your diagnostic results through the VA website (www.va.gov).

Note: We are not allowed to release diagnostic results unless they are critical or abnormal. In those cases, we will notify you right away.

If you receive a bill or are asked to pay for an examination or diagnostic test related to your VES examination, please contact VES immediately at 1-877-637-8387 so we can resolve the issue.
